Colour or mono is the easier question, and it turns on what you print rather than what you scan. If your outgoing documents are invoices, delivery notes and contracts, you are paying for colour you will rarely use.

After that, three specifications matter day to day: paper capacity, first page out time, and whether the document feeder takes double-sided originals in one pass. Print speed is advertised hardest and noticed least, because the machine spends most of its day idle and the wait you feel is the first page.
